Training – Requests, Authorisation and Receiving

    Requests

    The Requests options allow users to request that compounds be ordered and available for use on a specific date.

    • Open the menu, and then select the Request button in the navigation bar, if not already highlighted.
    • Within the menu, select the Request menu option. This opens the Request screen.
    • Select Add Request, which is located at the top of the screen. This opens the Add Request panel.
    • Enter details of the Example Open Source.
      • Set the Date Required to one day in the future.
      • Set the Nuclide to one commonly used within your organisation, such as Carbon-14 or Technetium-99m. (The same radionuclide will be used for other open sources later in this training guide, and will be referenced as Common Nuclide.)
      • Set Activity to a value well within the limits for your organisation.
      • Set Quantity to an expected value for your organisation.
      • Concentration will be automatically calculated.
      • Set Compound as “Example Open Source“.
      • Enter the rest of the details as required.

    Fields denoted with a red asterisk are required to be filled in.

    The Catalogue Code dropdown allows you to select a commonly used compound and fill out the fields for Supplier, Compound, Nuclide, and amounts (if configured).

    • Select Submit at the bottom of the panel to confirm the request.

    Authorisation

    This option allows an RPS (or other supervising users) to authorise users’ requests.

    • Open the menu, then select Authorise Requests.
    • Select the request to be authorised (that we entered previously) from the table. This opens an information panel for the request.

    If the request is not visible, there are two dropdown filters at the top left of the screen. The first is for the Authorisation Status, and the second is for the Department.

    The request may have been automatically authorised, and will appear green in the request tables. This is due to a security setting specific to the inputting user’s security level. Authorisation Status can still be edited.

    • Select Authorisation at the bottom of the panel. This closes the information panel and opens the Authorisation panel.

    The Authorisation panel displays read-only information about the submitted request, followed by fields for the user to fill in.

    The request can be rejected or left awaiting authorisation by selecting the Authorisation Status drop-down and then selecting the relevant option. It is set to “Authorised” by default.

    There are fields for Authorisation Number and Order Number. Purchase order numbers, cost centre codes, or project numbers are commonly used.

    • Enter information as required.
    • Select Submit at the bottom of the panel.

    Upon submission, the request will turn green to show it is authorised.

    If a user subsequently edits the authorised request, it will be resubmitted for authorisation.

    Receive

    The Receive From Request option allows the user to indicate that requested open sources have arrived on site.

    Adding open sources which were not requested is done through the Open Source screen, under Add Open Source. This will be covered later in the guide.

    • Open the menu, and then select the Receive button in the navigation bar.
    • Within the menu, select Receive From Request. This opens the Receive Authorised Requests screen.
    • Select the request previously authorised from the table. This opens the information panel for the request.
    • Select Receive at the bottom of the panel.

    The initial details of the open source received are taken from this request, which can be adjusted where the delivery differs from our original request.

    • Enter information as required.
    • Select Submit at the bottom of the panel.

    On submission, the user is navigated to the Single Open Source page for the newly received open source. The source will have been automatically allocated a unique Reference Code.

    Keep a note of this code during the training process. We will refer to it as Compound Reference.

    Standard Requests

    The Standard Requests option can be used when an open source is ordered regularly, especially when it is ordered by the same department/user. The details can be recorded as a standard request and recalled when entering new requests, saving time and effort by eliminating the need to type and select information.

    Creating a New Standard Request

    • Open the menu, then select the Request button in the navigation bar if it’s not already highlighted.
    • Within the menu, select the Standard Requests menu option. This opens the Standard Requests screen.
    • Select Add Standard Request. This opens the Add Standard Request panel.
    • Enter information as required
    • Select Submit at the bottom of the panel to confirm.

    An additional method to create a standard request is to select a request from the Requests screen and then select Make This a Standard Request at the bottom of the information panel.

    Using a Standard Request

    • Navigate to the Requests screen, as done previously.
    • Select Create From Standard Request, located at the top of the screen. This opens the Select Standard Request To Use panel.
    • Select the standard request previously created from the table. This closes the current panel, and opens the Add Request panel, prefilled with the standard request information.
    • Enter the information as required.
    • Select Submit at the bottom of the panel to confirm.
