Training – Open Sources 2

Contents

    Dilute/Synthesise

The Dilute/Synthesise option is used to create a new sub-sample. The option is similar to the Use option but allows the user to change the compound name, as well as the concentration and units.

    • In the Search, at the top right of the screen, enter the Compound Reference. This will navigate the user to the Single Open Source screen for the Example Open Source.
    • Select Perform Actions.
    • Select Dilute/Synthesise. This opens the Dilute/Synthesise form panel.
    • Set the Percent to 10.
    • Enter the rest of the details as required.
    • Select Submit

A second option, Submit and Repeat, allows the user to confirm the sub-sample and automatically create additional samples with the exact details. This can be repeated as many times as necessary.

    Transfer Off-Site

The Transfer Off-Site option allows the user to transfer all or part of an open source to another site or organisation.

Your organisation may not have transfers. If this is the case, skip this step.

    • Navigate to the Single Open Source screen for the previous compound.
    • Select Perform Actions.
    • Select Transfer Off-Site. This opens the Transfer Off-Site form panel.
    • Set the Percent to 10.
    • Enter details as required.
    • Select Submit.

Upon saving, the transfer is automatically allocated a unique consignment number.

    Editing Data – Freezing

All of the information entered into IsoStock can be edited.  IsoStock uses an audit trail that records the changes made, who made them, and when. It also requires the user to give a reason for editing data. Most editing can be done by simply selecting the item and selecting the edit button.

However, there are times when you cannot edit due to further transactions. For instance, changing an original concentration would affect the data that has been subsequently entered. In this case, we have to use the Freeze function.

The Freeze function puts a temporary hold on the transactions so that the original data can be changed. The user then reconfirms each of the transactions.

This is intended as a supervisor option and should only be used if other edit options are restricted. Any freeze procedure needs to be completed, as partial edits can lead to unexpected errors in calculations.

    • Navigate to the Single Open Source screen for Example Open Source 2.
    • Select Perform Actions.
    • Select Edit This Compound. This opens the Edit Compound panel.

An alert pop-up will appear at the top of the screen noting “Editing has been restricted as there are transactions associated with this compound”.

Fields for the Nuclide, Reference Date, Activity, Quantity, Concentration and Specific Activity are disabled.

    • Select Cancel at the bottom of the panel. This cancels the edit and closes the panel.
    • In the Open Source Transactions table, select the most recent transaction. This opens the transaction information panel.
    • Select Freeze. This opens the Freeze Transaction panel.
    • Add a Reason For Change. This can either be selected from the dropdown or typed.
    • Select Submit.

The frozen transaction will now appear red in the table. It is still recorded against the open source, but it is partially ignored for entry validation.

    • Repeat for all other transactions.

Only transactions that involve the Activity or Quantity can be frozen. Freezing of transactions should, in most cases, be performed from the latest to the oldest.

Additionally, if a transaction creates a sub-sample, all freezable transactions of the sub-sample must be frozen before the transaction on the source can be frozen.

    • Select Perform Actions.
    • Select Edit This Compound.

Note that the previously disabled fields, under Radioactivity Details, are now enabled.

    • Edit the Activity, and then select the adjacent Calculate button. This recalculates the Concentration.
    • Select Next. This moves the panel to confirmation. A list of any changes made to the source will be displayed.
    • Add a Reason For Change.
    • Select Submit.

The transactions now need to be unfrozen. This is done by editing them to confirm any changes, and should generally be performed from oldest to newest.

This is due to the edit on the open source, which causes the data to be recalculated for the transaction. Subsequent transactions are then affected by both the source edit and the updated preceding transactions.

    • Select the oldest transaction in the Open Source Transactions table.
    • Select Edit. This opens the edit panel for the transaction.
    • Review the values.
    • Select Next. This moves the panel to confirmation. A list of any changes made to the source will be displayed to allow review.
    • Add a Reason For Change.
    • Select Submit.
    • Repeat for all other transactions, from oldest to newest.

Unfrozen transactions will revert to their prior colour in the table.

    Show Edits

Whenever edits have been made to an item, a new option will appear both on the item’s information panel and single item screen, Show Edits. Selecting this option will display details of all edits made to the data, with the reason for the edit.
